At NOVA by Nilgün Şahin, we care about the privacy of everyone who visits our website and gets in touch with us. This policy explains in plain language what information we collect through www.novabynilgun.com, and why and how we use it.

What information do we collect?

Our website has three forms and a chat assistant. We only receive the information you choose to enter in them and in the assistant (for the assistant, see the “NOVA Assistant” section below):

• Free Preliminary Analysis form: full name, business or organization name, industry, city and country, email address, phone number, whether the business is already operating or in the setup phase, number of employees (optional), the areas where you would like support, the most important thing you want to change or improve, and your preferred contact method.
• Consulting Request form: the services you are interested in, full name, business name, industry, email address, phone number, city and country, and a description of your request.
• Contact form: full name, organization name (optional), email address, phone number (optional), subject and your message.

When you submit a form, your IP address and browser information (browser and operating system type) are also recorded with the submission to prevent abuse and spam.

NOVA Check answers

Your answers to the NOVA Check assessment stay in your browser and are not sent to our server. If you continue to the Free Preliminary Analysis form after the assessment, the form lets you know that your NOVA Check result will be attached to your application. Attaching it is optional, and you can remove the result from the form. Your answers only reach us if you submit the form with the result still attached.

NOVA Assistant (chat)

The NOVA Assistant on our website is an AI assistant that answers your questions. Messages you write to the assistant are stored on our server in Germany (Hetzner) together with your IP address for 180 days, so that the conversation can continue and misuse can be prevented, and are then deleted. Chats in which you leave your contact details or request a call are also stored together with your request, in the same way as form submissions. To generate answers, your messages are sent to OpenAI (USA). If you send a voice message, your recording is sent to OpenAI (USA) only to be transcribed and is not stored on our server; the transcribed text is stored like other messages. To read the answer aloud, the answer text is sent to ElevenLabs (USA). The microphone is used only when you tap the voice message button and allow it in your browser. If you start a voice call, your conversation is relayed in real time through our own voice server to the assistant; your voice is sent to ElevenLabs (USA) to be transcribed and the assistant’s answer converted to speech, and to OpenAI (USA) to generate answers. Audio is not recorded; the written transcript is stored like a chat. If you leave your name and contact details in the chat or ask to speak with Nilgün Şahin, this information is forwarded to our business email inbox together with the chat transcript; for call requests, Nilgün Şahin also receives a short SMS notification (NetGSM, Turkey). Please do not write information such as ID numbers, financial details or passwords to the assistant.

How do we use your information?

We use the information we collect only to review your application or message, contact you through your preferred method, plan the service that fits your request, answer your questions in the NOVA Assistant and prevent misuse of our forms and chat. We do not use your information for advertising, marketing lists or profiling.

Where is the information stored?

Form submissions are recorded on our server in Germany (Hetzner), in an area of the server outside the website that is not publicly accessible. The same information is forwarded as a notification email to our business mailbox (contact@novabynilgun.com), and you receive a confirmation email letting you know we have received your submission.

Who do we share it with?

We do not sell or rent your information, and we do not share it with third parties for marketing purposes. However, the information you submit through the forms is stored on a server located in Germany (Hetzner Online GmbH) and delivered through the corporate email service (Natro, Turkey); NOVA Assistant messages are also processed by OpenAI (USA) to generate answers and transcribe voice messages, by ElevenLabs (USA) to read answers aloud and by NetGSM (Turkey) for call notifications; these service providers process it as data processors solely to provide the service. Your information is therefore transferred abroad and to service providers; transfers abroad are carried out in line with Article 9 of the KVKK. We may disclose information to competent authorities where required by law.

Cookies and third-party services

Our website does not use cookies and contains no analytics, advertising or tracking tools. Fonts and videos are served from our own server, and pages make no requests to third-party services. See our Cookie Policy for details.

You can find your rights regarding your personal data, such as requesting information, correction or deletion, in our Personal Data Notice. You can send any request to contact@novabynilgun.com.

Changes

We may update this policy when our data processing changes. The current version is always published on this page, and the date of the last update appears at the top.
